iMedia Summit Brand Delegate Terms and Conditions


By registering for and participating in the iMedia Summit, you agree to be bound by these Delegate Terms and Conditions, including the Delegate Agreement and Booking Conditions. Please read these carefully.

Participation and Invitation

  • Participation at iMedia Summit is free of charge and by invitation only. Your registration constitutes a contractual booking.
  • If you cancel your place within 4 weeks of the event, a cancellation fee of $1,000 AUD (or local equivalent) will apply. This fee will be waived only if the event cannot proceed due to government regulations, such as COVID-19 restrictions.
  • Cancellation notices must be submitted in writing to the Organisers. You will receive written confirmation when your cancellation is processed.
  • These cancellation fees represent a genuine pre-estimate of loss suffered by iMedia, including administrative costs from last-minute cancellations and delegate replacements.

Delegate Eligibility

  • This invitation is extended to you as a representative of the company listed in your registration.
  • If you cease to be employed by or affiliated with this company prior to the event, your invitation is no longer valid. Please contact the iMedia Summits Team to update your details or request a new invitation reflecting your current employer.


Included and Excluded Costs

  • Your registration includes your conference pass, accommodation, meals, and scheduled event activities free of charge.
  • You are responsible for your travel to and from the event venue, as well as any additional expenses for food, drinks, recreational activities, or purchases outside the official program.


Booking Conditions

1. Definitions

  • Company: The employer of the Delegate indicated on the registration form.
  • Delegate: The individual attending the event.
  • Event/Summit: The iMedia Summit event.
  • Networker: Any company or individual sponsoring or participating in the event.
  • Organisers: Comexposium and affiliated entities.
  • Package: The accommodation, meals, drinks, and conference sessions provided.

2. Governing Law and Jurisdiction

  • These Terms and Conditions are governed by the laws of Australia. Any disputes will be resolved exclusively through the Australian courts.
  • This does not affect any statutory rights under Australian or New Zealand law.

3. Application and Acceptance

  • Applications to attend must be completed on the official booking form.
  • The Organisers may accept or decline applications at their sole discretion.
  • These Terms and Conditions apply to all bookings. No changes to these Terms apply unless agreed in writing by the Organisers.

4. Cost and Payment

  • Attendance is free except for any charges outlined (e.g., cancellation fees).
  • Any additional goods or services not included in the Package must be paid directly by the Delegate to the venue or service provider.
  • The Company indemnifies the Organisers against any unpaid venue accounts at event departure.

5. Contract Formation and Termination

  • Upon acceptance of your registration, a binding contract exists between the Organisers and your Company.
  • The Organisers may terminate the contract and refuse attendance in case of breach, non-payment, or non-compliance with these Terms without prejudice to other rights.

6. Withdrawal and Cancellation

  • Cancellation or withdrawal notifications must be in writing and sent via email.
  • Cancellation is effective upon written confirmation by the Organisers.
  • Cancellation fees apply as described above.

7. Accommodation Occupation

  • Delegates must occupy assigned accommodation on arrival. Failure to do so will be treated as cancellation under these Terms.

8. Insolvency

  • If the Company becomes insolvent or undergoes receivership or administration, the Organisers may terminate the contract and apply cancellation terms.

9. Booking Transfer

  • Bookings are non-transferable without prior written consent from the Organisers. Unauthorised substitutions may be refused entry.

10. Postponement or Event Changes

  • The Organisers are not liable for any loss if the Event is rescheduled, postponed, or venue-unavailable.
  • The contract remains valid for any alternative dates or arrangements.

11. Insurance and Liability

  • The Organisers are not responsible for loss or damage to Delegate property or personal injury. Delegates should obtain their own insurance coverage.

12. Prohibited Items

  • Dangerous items such as explosives or fireworks are prohibited at the event.

13. Safety Compliance

  • Delegates must comply with venue fire, safety, and conduct instructions.

14. Intellectual Property and Information Use

  • All event materials provided by the Organisers are confidential and for Delegate use only.
  • Delegates must not share or distribute Organiser information without permission.

15. Right of Exclusion

  • The Organisers may remove any individual whose presence is deemed undesirable or unsafe.

16. Data Protection and Privacy

  • iMedia Summits collects and uses your personal information in accordance with Australian and New Zealand privacy laws.
  • Personal data collected may include your name, contact details, company, job title, and event participation data (including connection requests via the event app).
  • Your data will be used to manage your participation, facilitate networking, and communicate relevant event information.
  • Your contact information will only be shared with other attendees, sponsors, or networkers if and when you accept their connection requests within the iMedia event app.
  • Sponsors and networkers who receive your information must comply with applicable privacy laws and provide options to opt out of marketing communications.
  • You may decline connection requests without affecting your participation in other event features.
  • You have the right to access, correct, or withdraw consent for your personal data by contacting iMedia Summits.

Acknowledgement and Agreement

By registering or attending, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions and the applicable Privacy Policy.
