By registering and committing to participate in the iMedia Summit as a Sponsor or Networker, you agree to abide by these Terms and Conditions, in conjunction with your executed sponsorship or networker contract (the Agreement). These Terms are designed to work alongside, and not override, the contractual provisions contained in that Agreement.
Participation and Scope
- Participation as a Sponsor or Networker is secured through a commercial arrangement and confirmed only when the contractual process (outlined below) is complete.
- The entitlements, deliverables, and inclusions you receive are strictly defined in your signed contract with the Organisers (Comexposium Australia and its affiliates).
Eligibility and Representation
- Only employees or authorised representatives of the Company named in your signed contract are entitled to participate as part of the agreed sponsorship or networker package.
- If a registered representative leaves your Company or changes their role prior to the event, the Organisers must be notified in writing. Participation of any replacement is subject to prior written approval by the Organisers.
- No unauthorised transfer or substitution of passes is permitted.
Included and Excluded Costs
- All inclusions—such as event access, accommodation (if provided), hospitality functions, branding, meeting programs, and other agreed deliverables—are strictly as detailed in your signed contract.
- Sponsors/Networkers are responsible for all costs not expressly listed in the package, including but not limited to: additional passes, off-program activities, travel to and from the venue, personal expenses, and requests outside the formal agreement.
Booking Conditions
1. Definitions
- Company: The sponsor/networker’s employer or principle.
- Sponsor/Networker: The individual or company engaging in sponsorship or networking at the event.
- Organisers: Comexposium Australia (“iMedia”) and affiliates responsible for delivering the Event.
- Package: The bundle of benefits, services, branding opportunities, event access, hospitality, and/or meeting allocations, as set out in the executed contract. Anything not listed in the Package may incur additional fees.
2. Governing Law
- These Terms and your Agreement are governed by the laws of New South Wales, Australia. Any disputes will be resolved in Australian courts. This does not affect any statutory rights under Australian or New Zealand law.
3. Contract Execution and Confirmation
- Participation is confirmed only once the Organisers receive the fully executed contract:
- The Organisers issue the agreement (including these Terms) for your signature.
- You sign and return the contract.
- The Organisers countersign the contract.
- No verbal or informal commitment secures participation.
4. Contract Formation and Termination
- Your Agreement with the Organisers is legally binding upon your receipt of the countersigned contract.
- The Organisers may terminate the arrangement immediately for breach, non-payment, or non-compliance—without prejudice to other rights and remedies.
5. Withdrawal and Cancellation
- All withdrawal, cancellation, and associated liabilities—including any applicable liquidated damages—are governed exclusively by the Cancellation Policy and Liquidated Damages clauses in your signed sponsorship/networker Agreement.
- No cancellation of participation will be effective without the prior written consent of the Organisers, consistent with your Agreement.
- Any request for cancellation must be in writing to the Organisers and takes effect only when confirmed in writing.
6. Use of Event Benefits
- Use of meeting spaces, hospitality, and networking opportunities is strictly as agreed in your contract.
- Sponsors/Networkers must not organise or join activities with iMedia delegates away from the event venue during official agenda times.
7. Data Sharing & Privacy
- Delegate personal information is shared only if delegates expressly consent via the iMedia event app.
- You agree to use this information solely for event-related business development and marketing—in accordance with Australian and New Zealand privacy laws and the consents provided.
- You must promptly honour all opt-out requests, and are prohibited from selling, renting, or disclosing delegate personal information to any third party without explicit consent.

8. Safety, Conduct & Prohibited Items
- Dangerous items (e.g., explosives, fireworks) are forbidden at the event.
- You and your representatives must comply with all safety requirements and lawful instructions from event staff.
- The Organisers may immediately remove any participant for misconduct or safety concerns.
9. Intellectual Property
- Materials, presentations, and content provided by the Organisers are for event participation only, unless otherwise permitted by your Agreement.
- Both Sponsor and Organisers retain rights to their own brands, and agree to mutual use for the purpose of event promotion (as detailed in your signed contract).
10. Liability & Insurance
- The Organisers accept no liability for any loss, damage, or personal injury during the event. Sponsors/Networkers are strongly advised to obtain their own insurance cover.
11. Force Majeure
- The Organisers will not be liable for non-performance caused by factors beyond their reasonable control, including natural disasters, pandemics, or venue inaccessibility.
Acknowledgement
By signing your sponsorship or networker Agreement, you confirm you have read, understand, and accept these Terms and Conditions as well as your formal contract.
